The 6th-floor conference room comfortably seats 18 people at the table (7 on each long side, 2 at either end). If needed, 20 people can fit around the table, with 8 on each long side.
Scheduling the Room
- Create a meeting in Outlook
- Search for 6th Floor Conference Room in the location
- Select if the room is available
- If the room is unavailable, you can view the room’s calendar and see when to adjust your meeting accordingly. If you have any issues, reach out to Lilly at lschoeller@asiasociety.org
Sharing A Presentation (without Zoom)
- Go to the touchscreen on the left wall and tap on it to wake it up
- Click on the Share Icon
- Take one of the circular USB dongles (sitting under the screen) and plug it into the USB port of your laptop
- On your laptop, open My Computer and find the drive that has the USB plugged in (D: or E:)
- Double-click on the Clickshare application and the circle on the dongle will light up
- Press on the circle, it will turn red which means the desktop will be projected on the screen
Adding a Zoom Meeting
- Your meeting in Outlook must have the 6th Floor Conference Room as the location for the Zoom invitation to work
- Add a Zoom meeting to the Outlook event
- If your event is the only event scheduled in the 6th-floor conference room at that time, zoom will work and you can join directly from the 6th-floor screen when the time comes
Joining a Zoom Meeting
- If you have invited the 6th-floor conference room to your Zoom meeting, the meeting will appear on the screen to the left of the television.
- Select “Join Meeting” on the screen.
- If the host has started the meeting, you will automatically join
- The screen will show the room video on the right-hand side. This will disappear on its own.
- If you did not invite the conference room to your Zoom meeting, or your meeting is just not showing up, the screen will either show the time or the next meeting scheduled for that day.
- Select “Dial” on the screen and dial into your Zoom meeting ID.
Controlling Zoom Layout - Participants Only
- When you join a Zoom meeting, the screen will show the room video on the right-hand side. This will disappear on its own.
- If you want the room video to stay visible, select the camera icon on the upper right-hand side of the small screen.
Click the checkbox labeled “Selfview”
Controlling Zoom Layout - Screensharing
- If you or a participant share their screen, the video will automatically go to the top of the screen, with the screen share displayed beneath it.
- To change this, select “Layout” on the small screen.
- Select the preferred layout. “Single” will show only the shared screen and will not display any participant video feeds.
Controlling The Volume
The volume controls for the videoconferencing system are located at the bottom right of the touch panel and are physical buttons. On a call, the mute button will glow green when the room microphones are unmuted and red when the microphones are muted.
You can also control the volume using the remote for the television.
Manually Controlling The Camera
In addition to Speaker Track, which automatically focuses the camera on whoever is speaking, it is possible to control the camera manually.
Tap the blue camera in the upper right corner of the touch panel
Disable Speaker Tracking by tapping on the switch
Use the included touch controls to aim the camera and to zoom in and out
